Thank you so much for considering booking your retreat at Torchbearers Yamanakako. We would love to have you as our guests. Below we have included information that will help you plan your stay with us. We encourage you to review all of the information before creating your schedule. About the property:
Torchbearers Yamanakako is nestled at the foot of Mount Fuji, 1000 meters above sea level and walking distance (1km) from Lake Yamanaka. We have two large buildings that can sleep up to 80 people in a mix of Japanese style (tatami room/futon mat) and Western style (bunk bed) accommodations. Yamanaka is a great place to go to enjoy the beauty of God’s creation all year long. Escape the summer heat or warm up by the wood-burning fireplace in the winter!
Check-In / Check-Out Times
Facility check-in time is 3:00 p.m.
Please note that in order to ensure that the previous group is able to enjoy their stay, and to ensure that our staff team has an opportunity to get the buildings and property ready for your group, early check-in is usually not possible. Please plan to arrive at the Center no earlier than 3 p.m. If arriving by bus, please make arrangements with your bus driver accordingly. Whichever mode of transportation you choose, we recommend that you have a plan in place in case you arrive early and we cannot accommodate you. There are many interesting things to do in and around Yamanakako that we hope you will enjoy.
If you do arrive in Yamanakako earlier than 3 p.m. due to circumstances or desire to use the property prior to the 3 p.m. check-in time, please call the Center prior to your arrival to inquire as to whether or not the property, or part of the property, is available for your use.
Room check-out time is 10:00 a.m.
Please ensure that you have vacated your rooms and that all bedding is stripped and piled on the floor by 10:00 a.m. on the day of your departure. Please place the bedding on three piles on the floor in each room: one pile for duvet covers, one for flat sheets, and one pile for pillow cases. You may store your luggage on the back deck, in the dining room, or in the meeting room until your departure. Thank you.

Fee Payment
Please be prepared to settle your bill upon arrival at the Center. Groups may also send their full payment in advance by Postal Bank Transfer (Furikae) provided that the funds are received prior to your arrival at the Center (please note that it can take 2 – 3 business days to process a Furikae payment after it is sent).
Orientation
When you arrive, staff would like to welcome your group and provide your group with a brief orientation of the property. You will be able to indicate a preferred 10 minute time slot for this on your Group Confirmation Form.
Meal Times

Unless otherwise arranged with the office, meal times are as follows:
Breakfast: 8:00 a.m.
Lunch: 12:30 p.m.
Supper: 5:30 p.m.
A bell will ring to indicate that it is time to eat.
Please vacate the dining room one hour prior to meal times in order to allow the staff to set up for meals. Thank you.

Quiet Hours
Out of respect for our neighbors and for the staff members who live in the Center buildings, please respect the following "quiet hours":
Outdoors: please ensure that no loud noises are made outdoors past 10:00 p.m.
Indoors: please ensure silence inside the buildings by 11:00 p.m.

Meal Types / Special Requests
In order to reduced contamination, we are happy to announce that we will be offering Deluxe Obento Meals. These beautiful, tasty packed meals are prepared in a restaurant kitchen by professional chefs. Obento-style dining will allow you the option of flexible seating for meals (so that you can spread out more or even eat outdoors if you wish) and will greatly minimize the handling of dining ware.

Celebrating a birthday while you're with us? Homemade birthday cakes can be ordered through the office in advance. Additional fees apply.
Please note that no special meals are prepared for infants under the age of 2. If able to do so, infants are welcome to eat off of their parent’s plates. Please encourage parents to bring along any special food that their babies may require.

Café Stations
Complimentary tea and instant coffee are available anytime during your stay with us. A café station is located in the dining hall on the first floor of the Main Hall and in the Amatou Café on the first floor of the Annex. Please help yourself!
Ofuro / Japanese Bath
Main Hall:
A two person Japanese bath is available for guest use on the first floor of the Main Hall. It is available anytime with the exception of cleaning times in the middle of the day.
For anyone in your group who has never used a Japanese bath before, English instruction pamphlets are available by request at the office.
Shampoo, rinse/conditioner, and body soap are provided in our baths and showers. Please remember to ask your group members to bring their own personal toiletries and bath towels.
Annex:
The Annex is equipped with two large ofuros. These large bathtubs are filled for group use. We will prepare one large bath per night stay for groups under 20 people and 2 large baths per night stay for groups over 20 people, if desired. Please use the Group Confirmation form in order to let us know what time your group would like to use the bathtub(s).
Please note that the water for the Annex ofuro bathtubs is heated using a large hot water tank. Once the tubs are filled, the water is not continually heated like some Japanese bathtubs (the Main Hall ofuro bathtub is a continuously heated type tub). Although the tubs do a great job of maintaining their heat (especially when the lids are on), we recommend that you finish bathing in these tubs within one hour of them being filled in order to enjoy maximum warmth.
Please be sure that your group is finished using the bathtubs by 11:00 p.m. in order to create a quiet sleeping environment for other Center guests and staff. Please note that the Annex baths will be drained two hours after your desired bath time. If that is not possible and your desired bath time begins later than 9 p.m., please assign one person who will be responsible for draining and closing down the bathtub rooms as per the instructions that we will provide. Thank you.

Showers
Two showers are available for guest use on the second floor of the Main Hall and two showers are available for guest use on the second floor of the Annex. These showers are available for use anytime. Please ensure that the hot water panel power light is illuminated before entering the shower to ensure that you will get hot water. Please do not adjust the digital water panel remote control. Thank you.
Parking
Torchbearers Yamanakako is equipped with paved and unpaved parking facilities for up to approximately 12 normal sized vehicles. Please note, if all of your group’s vehicles will not fit in the front parking lots, the badminton/volleyball court will be used as the overflow parking lot and can accommodate an additional 6 vehicles. In the event that you need to park more than 12 vehicles, please contact our office prior to your arrival.
Coach Bus Drop Off / Pick Up Location
Many groups arrive at our Center by bus. Because we are located on a narrow street, some large coach buses find it difficult to turn around in our parking lot. Most groups arriving by bus are dropped off and picked up in the parking lot of the local laundry mat/garbage station that is located just 50 meters in front of our property. We have received permission to do this from the owner/manager. Please note that this location is not available for long-term parking. Pickups and drop-offs only please. Tobacco / Alcohol
Please note that Torchbearers Yamanakako is strictly a non-smoking and alcohol-free facility and grounds. Thank you for not smoking or drinking alcohol anywhere in our buildings or on our property. If there are members of your group who feel they need to smoke, taking a walk in the area is a great way to do this. Group leaders should let their members know what to expect prior to their arrival and also regulate their own group members while here.
